Reproductions: Policies and Fees

Please note: Payment for all services must be by 
check or money order, made payable to MTSU.
We regret that we cannot accept payment via credit card.


PHOTOCOPIES:

Photocopies are available within copyright restrictions, provided that the item requested is in good condition and able to withstand the handling. Copying of all Special Collections items (sheet music, rare books, trade catalogs, posters & playbills, etc.) must be done by Center staff; no self-service copying is permitted.  We reserve the right to refuse to copy rare and fragile items. 

Photocopies will be provided only upon receipt of a signed "Reproduction Use" form. The form covers both provisions for "Fair Use" of materials under copyright and the Center's own requirements for citations and acknowledgement.  Please note: in the case of printed music that is still under copyright protection and has not yet fallen into the Public Domain, the "Fair Use" provisions of the copyright law do not permit us to make copies for personal use or for purposes of performance.  The Center for Popular Music follows the guidelines regarding copyright law and fair use in music adopted by the Music Library Association.  Center staff reserve the right to use their best judgment in determining whether a request can be filled.  

Fees for photocopies:

Patrons who visit the Center may purchase a copy card ($.50) which can be loaded with copies at a cost of $.10/copy, in increments of $1.00.  Copying of all Special Collections items (sheet music, rare books, trade catalogs, posters & playbills, etc.) must be done by Center staff; no self-service copying of these items is permitted.

All copies made for off-site researchers will be sent by the most economical domestic mail rate unless other arrangements are made. Additional charges may apply to international mail. 

Charges exceeding $3.00 must be prepaid. 

Note to Librarians: Requests for photocopies forwarded through a library ILL department will have the first $3.00 in charges waived. In addition, your signature on an ILL form from your institution, with the appropriate compliance conditions checked, will serve in lieu of our Reproduction Use Form.

Photocopying of complete works. If a book or other item is clearly out of copyright, you may request a complete photocopy or microfilm copy (see below). The cost of reproduction will be decided on a case-by-case basis. In most cases the minimum charge for a complete reproduction of a book will be $20.00. 
 

MICROFILM COPIES:

The Center has access to microfilm services with, usually, a two-week turnaround. Rates vary according to the condition of the item but in some cases the price is comparable to photocopying. In addition, books which are too fragile to photocopy can sometimes be successfully microfilmed. Purchase of a microfilm entitles you to make one photocopy from the film, for personal use only. If you are requesting a complete reproduction of a book please allow us to quote you a price for microfilming. 
 

DIGITAL REPRODUCTION:

We are able to scan print items (sheet music, songbooks, posters, etc.) and photographs.  Low resolution images (72 dpi) can usually be sent via e-mail.  Higher resolution copies must be burned to a CD, which is then sent via regular mail.  We can also produce near photo-quality prints from scanned images.  Prices apply to original items up  to 8.5" x 14".  Additional charges may apply to oversize items.

$10.00 per image for scan.   Low resolution scans (72 dpi) can be sent via e-mail.  Higher reslution copies must be burned to CD and sent to patrons at a cost of $10.00 per CD.  The charge for a CD includes shipping via regular mail, and is the same regardless of the number of images burned, up to the capacity of the CD.  Shipping via express carriers is charged at prevailing rates. 

PHOTOGRAPHS:

Some photographs in the CPM collection are available for reproduction in publications, video productions, etc.. For many others, the Center holds no right of reproduction. When possible we will provide contact information for the photographer or agent. 

CPM reserves the right to restrict use of any photo. A signed Photo Use Agreement must be on file with the CPM prior to processing any photo request. Photographs are not available for personal use or private collections. Use of photos in advertising or publicity campaigns requires letters of permission from the person(s) in the photo to use their image to promote, publicize, or advertise any product, project, etc. However, in no case will the CPM reproduce nor license its photographs solely for advertising use. 

For requests requiring extensive amounts of search time, this time will be billed at our regular rates for research time.  Search requests will be filled within 5 working days.  Services requiring a shorter turn around will incur an additional 50% surcharge.

Use fees The use fee for photos is normally based on client's standard rates for photographic materials, subject to a minimum of $50.00 per photo. 

NON-PROFIT ORGANIZATIONS/NON-COMMERCIAL USE

Legitimate non-profit organizations, public broadcasting, and academic users will be charged 50% of the regular charge for photo use, provided the Center for Popular Music receives an appropriate credit line and is supplied with a copy of the completed product for the Center's collection.  NOTE: non-profiit discount applies only to use fees, not to reproduction charges.

CAMPUS RATES:

Charges for photograph duplication for on-campus users will be billed directly to the client by Photographic Services.
